These Terms and Conditions (“Terms”) govern use of the Apothelink website and platform. By accessing or using Apothelink, you agree to be bound by these Terms.

If you do not agree to these Terms, you must not use the platform.

  

1. About Apothelink

Apothelink is a digital booking and coordination platform designed to support appointment referrals between GP practices and community pharmacies for services such as Pharmacy First and minor illness pathways.

Apothelink provides a non-clinical booking layer only. It does not provide medical advice, diagnosis, or treatment and does not replace existing NHS clinical systems.

  

2. Who may use Apothelink

Apothelink is intended for use by:

  • GP practices and GP practice staff
  • Community pharmacies and pharmacy staff
  • Other authorised primary care organisations (e.g. LPCs, ICBs)

Use of the platform is restricted to authorised users acting in a professional capacity.

  

3. Nature of the service

Apothelink enables:

  • Visibility of pharmacy availability by service
  • Direct booking of appointments into community pharmacies
  • Use of non-identifiable reference codes to support existing NHS workflows

Apothelink does not:

  • Store or process patient clinical data
  • Act as a patient record system
  • Replace systems such as PharmOutcomes or GP clinical records

All clinical responsibility, record-keeping, and decision-making remains with the relevant GP practice or pharmacy.

  

4. User responsibilities

Users of Apothelink agree to:

  • Use the platform only for its intended purpose
  • Ensure that any bookings made are appropriate and accurate
  • Maintain the confidentiality of login credentials
  • Comply with applicable NHS policies, professional standards, and legal      obligations
  • Ensure information entered into the platform is correct to the best of their      knowledge

Users must not misuse the platform or attempt to access unauthorised areas or data.

  

5. Patient data and confidentiality

Apothelink is designed using data minimisation principles.

  • No patient clinical data is stored or processed within the platform
  • Users must not enter patient names, NHS numbers, or clinical details into      Apothelink
  • Unique reference codes are used to link bookings to records held in existing NHS systems

Users remain responsible for compliance with their own information governance obligations and for ensuring that patient data is handled appropriately within NHS systems.

  

6. Availability and service continuity

Apothelink aims to provide a reliable and continuously available service. However, access may occasionally be interrupted due to:

  • Planned maintenance
  • Technical issues
  • Factors outside our reasonable control

Apothelink does not guarantee uninterrupted availability and shall not be liable for temporary service outages.

  

7. Intellectual property

All intellectual property rights in the Apothelink platform, website, content, and branding belong to Apothelink or its licensors.

Users may not copy, modify, distribute, or reproduce any part of the platform without prior written permission, except where permitted by law.

  

8. Limitation of liability

Apothelink provides the platform on an “as is” basis.

To the fullest extent permitted by law, Apothelink shall not be liable for:

  • Clinical decisions made by users
  • Outcomes of consultations or referrals
  • Loss or damage arising from reliance on the platform for clinical purposes
  • Indirect, consequential, or economic loss

Nothing in these Terms limits liability for death or personal injury caused by negligence or for fraud or fraudulent misrepresentation.

  

9. Data protection

Use of personal data in connection with Apothelink is governed by our Privacy Policy, which forms part of these Terms.

Users are encouraged to review the Privacy Policy before using the platform.

  

10. Third-party services

Apothelink may integrate with or link to third-party systems or services (for example, existing NHS systems).

Apothelink is not responsible for the availability, accuracy, or operation of third-party services.

  

11. Changes to the service or Terms

Apothelink may update or modify the platform or these Terms from time to time.

Where changes are made, the updated Terms will be published on the website. Continued use of the platform constitutes acceptance of the revised Terms.

  

12. Termination

Apothelink reserves the right to suspend or terminate access to the platform where these Terms are breached or where continued access poses a risk to the service or other users.

Users may stop using the platform at any time.

  

13. Governing law

These Terms are governed by and construed in accordance with the laws of England and Wales.

Any disputes arising in connection with these Terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.
